Overview

Total Energies, Corio Generation / Green Investment Group and Gulf Energy Development in a Joint Venture (GTR4 Ltd) have the seabed lease rights from The Crown Estate to develop a 1.5 GW offshore wind farm in the UK southern North Sea. The project is in the Development Phase with the aim to achieve all the necessary consents and complete the necessary surveys and engineering to enable the project to become operational before 2030. Once complete, the project will provide renewable energy for the equivalent of approximately 1.6 million UK homes. The successful candidate will play a vitally important role providing essential secretarial and administrative support to the project’s management team.

The position is based in London with flexibility to work from home or elsewhere with regular visits to London Office (Farringdon). Occasional business travel in UK may be required for this post.

Role description

The Project Administrator will join a rapidly growing team of (currently) 65 and provide administrative support in a number of areas but principally assisting the project’s senior team. You will work closely with the Project Director’s Executive Assistant/Office Manager. Functionally, the role will report to the Head of Project Controls. There may also be opportunities to extend the role, for example, working with the document control or procurement team, depending on interests and experience.

Main responsibilities

  • Secretarial & Administrative Support: Provide support to the project management team and Resource and Recruitment Manager, including scheduling meetings, arranging interviews, managing calendars, and handling formal correspondence, along with other ad-hoc tasks
  • Communication: Facilitate effective communication within the project team and with external partners.
  • Meeting Coordination: Schedule, prepare for, and document project meetings, ensuring that minutes and action items are distributed.
  • Vendor Liaison: Manage relationships with external vendors and service providers as needed;
  • Support Events: Assist in the coordination of project events, workshops, and team-building activities.

Minimum requirements:

  • Administrative Experience: Previous experience in a secretarial or administrative role is preferred.
  • Technically proficient. Proficiency in standard office software and tools (e.g., Microsoft Office Suite, particularly Word, Excel and PowerPoint, SharePoint, etc.). Knowledge of other office systems such as electronic document management would be an advantage but is not essential.
  • Communication: Excellent written and verbal communication skills for professional interactions with team members and external contacts.
